Nextgen Care Services is seeking a motivated and organised Office Manager to join its growing team in Caboolture, Queensland. Nextgen Care Services is a registered NDIS provider focused on supporting people with disabilities to live with greater independence, dignity and choice. The organisation delivers a range of tailored supports, including supported independent living, daily living and life skills development, community participation, household assistance, transition support and community nursing care for high-needed participants. Office Manager | Nextgen Care Services – Caboolture, QLD

Key Responsibilities

  • coordinating the daily administrative functions of the office to ensure efficient and responsive support for participants, families, support workers and management
  • helping develop, implement and review office procedures, service standards and administrative systems to improve workflow and operational effectiveness
  • monitoring staff workloads, delegating administrative duties and following up on performance to ensure tasks are completed accurately and on time
  • supporting recruitment, onboarding, induction, training coordination, leave administration, payroll support and general staff supervision within the office environment
  • maintaining organised and secure office records, client files, rosters, reports, correspondence and other business documentation in line with operational requirements
  • assisting with the management of office accounts, invoice processing, expense records, timesheet administration and other routine financial documentation
  • liaising with management, coordinators, external service providers, health professionals and other stakeholders to support service delivery and resolve operational issues efficiently
  • overseeing the use of office resources, including equipment, supplies, workspaces and administrative support tools, and arranging maintenance or replacement where required
  • ensuring the office environment is well maintained, safe, professional and suitable for staff, visitors and service-related administration
  • monitoring compliance with workplace health and safety obligations and promoting safe administrative work practices across the office
  • ensuring administrative processes and records are maintained in accordance with relevant government requirements, internal policies, privacy obligations and NDIS-related procedures
  • assisting management with scheduling, reporting, internal communications and the coordination of office priorities to support business operations
  • identifying opportunities to improve systems, streamline processes and strengthen overall office efficiency and service quality
  • supporting the preparation of internal reports, compliance documentation and operational records required for audits, reviews and management decision-making
  • maintaining confidentiality and professionalism when handling sensitive participant, employee and business information

Skills and Experience

  • At least 1 year of relevant work experience in office administration, office management or similar role
  • An AQF associate degree, Advanced Diploma or Diploma

Employment Type: Full-time

Hours: 38 hours per week

Salary: $75,000 to $85,000 plus superannuation per annum
