Part-time / Permanent / Term Time only / 0.4 FTE (Thursday & Friday)

Position Title Administration Assistant

Reporting Manager EA to Principal / Senior Office Manager

Role Purpose

Specific Duties and
Responsibilities

The Administrative Assistant is a member of the Senior Office team, a
team who are passionate about providing welcoming and excellent
customer service to our community, operating with collaboration,
cooperation, teamwork and professionalism.

The Senior Office teams deliver a broad range of services
to support the School’s aspiration and intent, upholding its core values
and Christian foundation. This includes reception, sick bay oversight and
general student enquiries. The office maintains data entry into the school
database
(Edumate) as well as undertaking general office administration
photography, typing, email and mail. The office area has peak work times
during school terms but the school has committed to maintaining office
hours in most of the school holiday breaks.

Under the supervision of the Executive Assistant to the Principal/Senior
Office Manager and in conjunction with the Senior Office Administration
Team, the Administrative Assistant is responsible for operational support
to the School as the first point of contact for the School.

Actively support the Christian ethos of the school, modelling a

Christian example in all activities.

Administrative Assistant

  • Welcoming all and representing the school with warmth, care
and professionalism
  • Customer service - answer enquiries via telephone or face to
face with a welcoming manner and in a timely fashion
  • Accept deliveries; organising courier pickups
  • A point of contact for all student enquiries including stationery
purchases, Proof of Age cards, Student Concession cards
  • Sick bay (supervision, booking students in and out, updating

supplies and medication, first aid kits, annual review of first aid
kits)

  • Daily online student bulletin
  • Updating student records via Edumate – including quality
control, data extraction, custom reports where necessary
  • General typing for staff and maintaining turnaround times as
agreed
  • Proofreading documents for Community Engagement
  • Handle enquiries regarding lockers for all students annually and
ongoing for new students
  • Assist with photocopying /scanning and copier management
  • Assist with mini bus enquiries and bookings – liaison with bus
drivers and parents
  • Assist with Assisted School Travel - enquiries, amendments to
travel, private vehicle payments and attendance checks
  • Lost property management (identifying items, tracking down
students etc.)
  • General daily administration (distribution of mail, ordering and

distribution of stationery, franking and delivering mail to post
box daily)

Experience

  • Assisting with tasks related to Periodic or seasonal project
based matters (semesterly reports, speech night assistance,
open day assistance etc)
  • Annual file archiving and records management (paper and
digital)
  • Undertake any other miscellaneous administrative tasks as
directed by Executive Assistant to the Principal/Senior Office
Manager
  • Provide the appropriate duty of care for students

Professional Development Share knowledge and resources, develop skills and ensure best

practice principles are applied across the team
  • Actively seek appropriate and timely professional development
pertaining to role including customer service
  • Engage in the regular performance appraisal process and

professional development practices of the school

Any other duties as may be required by the Principal

Essential Qualifications Essential: Working with Children check required
  • First Aid Certificate

Desirable: Experience with Edumate, digital database maintenance
