About the Role

This is a hands-on, varied role in a very busy office.

You will play a central role supporting customers, technicians, and the sales team while also assisting with accounts administration and financial processing.

No two days are the same. This role suits someone who enjoys responsibility, learning, momentum, and being relied upon.

Working Hours

This role is Monday to Friday, 9:00am – 2:30pm (flexible)

The hours are designed to suit school hours, however we do require someone who:

• Is available every weekday

• Can occasionally step up and cover additional hours when team members are on leave or unwell

Key Responsibilities

Accounts Administration

• Reconciling supplier invoices and statements
• Processing supplier payments
• Issuing refunds to clients when required
• Supporting general accounts administration
• Assisting with financial record accuracy and documentation

Experience with Xero is an advantage but not essential.

Customer & Reception Support

• Answer incoming calls and assist with client enquiries
• Support quotes, orders, faults, and service requests
• Be the friendly, professional first point of contact for customers

Service & Technical Support (Training Provided)

• Log, book, and manage service requests (a major part of the role)
• Coordinate support tickets with technicians
• Liaise with manufacturers to resolve issues quickly
• Assist with basic technical troubleshooting
• Help develop self-help articles for our ticketing system

Administration & Sales Support

• Prepare quotes, contracts, finance documents, and installation paperwork
• Process orders, invoicing, and payments
• Coordinate logistics and installation dates
• Assist with software setup to help clients automate ordering
• Provide administration support to the sales team

General Office Duties

• Filing, scanning, and stationery ordering
• Preparing welcome packs and marketing materials
• Minute-taking at team meetings
• Mail and delivery processing
• General office administration as required

Client Engagement

• Proactively check in with existing clients
• Ensure clients are supported and identify opportunities to improve their experience

Experience & Qualifications

To be successful in this role, you will ideally have:

• Minimum 5 years experience in administration, office coordination, customer service, or accounts support
• Experience working in a busy, multi-tasking office environment
• Strong computer skills and confidence learning new systems
• Experience preparing quotes, processing orders and invoices
• A professional phone manner and experience dealing with clients
• Excellent organisation and time management skills
• High attention to detail and accuracy
• Strong written and verbal communication skills

Experience in technology, service-based, or B2B environments will be highly regarded, but is not essential — full training will be provided.
