In-Clinic Administration & Operations Coordinator – Full Time

Location: Para Hills Pay: $30–$35 per hour (depending on experience) Hours: Monday–Friday, full time Start time: 7:30am sharp

We are hiring one on-site admin to support a busy, multi-location allied health business of 20 professionals. You will be the sole on-site admin support, responsible for phones, bookings, enquiry response, clinic flow, and day-to-day operational support.

This is a high-output, phone-heavy role with real responsibility and accountability.

If you like urgency, structure, and being relied on — you’ll do well here. If you want slow days, loose standards, or a cushy reception role — do not apply.

Non-Negotiables (Read Carefully)

  • Calls are the job

  • High-volume inbound and outbound calls every day

  • Calls relate to multiple clinic locations

  • Missed calls returned the same day

  • Advert and online enquiries responded to within one hour

  • Appointments are booked on the call, not later

  • Performance is measured on calls handled, enquiry response time, and bookings made

  • Fast-paced and output-driven

  • Typically 40–60 calls per day

  • Backlogs worked through systematically

  • Daily outcomes matter more than “looking busy”

  • Early start, structured day

  • Start time is 7:30am (not flexible)

  • 30-minute lunch break

  • This is a full working day, not a cruisy admin role

Sole On-Site Admin Support

You are the central point for:

  • Phones and bookings across multiple clinic locations

  • Advert and enquiry follow-up

  • Clinic flow and daily operations

  • Operational support for clinicians and management

You are supported by one VA, not an on-site admin team. This role requires reliability, prioritisation, and sound judgement.

If you need constant direction or reassurance, this role will not suit you.

Clear Priorities

  • Phones & advert enquiries (multi-location)

  • Bookings

  • Staff & management operational support

  • Event coordination (GPs, RSLs, community groups)

  • Clinic presentation, cleanliness, and flow

Event Coordination (Admin-Owned)

You will organise:

  • GP clinic visits

  • RSL talks

  • Community and outreach sessions

You manage dates, confirmations, and logistics. Clinicians attend — you organise.

This is operational responsibility, not a marketing role.

Social Media Support (Secondary Function)

  • Assisting with basic social media posting and updates

  • Scheduling posts or uploading content as directed

  • Prior experience with social media platforms is valuable but not essential

This is a support function — not a standalone marketing position.

Hands-On Clinic Work (Non-Negotiable)

This is not a desk-only role. You will be responsible for:

  • Front desk coverage

  • Room resets throughout the day

  • End-of-day tidy and clinic presentation

  • Weekly on-site cleaning of the clinic

If cleaning or hands-on tasks are “below you”, this role is not a fit.

How You’re Managed

  • Clear KPIs (calls, response time, bookings)

  • Structured expectations and priorities

  • Early performance review

  • Measured on results, not micromanaged

This Role Suits Someone Who:

  • Is confident handling calls for multiple clinic locations

  • Is comfortable being on the phone most of the day

  • Responds to enquiries within strict timeframes

  • Stays calm under pressure

  • Is reliable, punctual, and accountable

  • Is comfortable with early starts and physical tasks

  • Has admin or reception experience (healthcare a bonus)

  • Has previous exposure to social media posting or scheduling (valuable)
