The Position

We are looking for a friendly, confident and customer-service focused Receptionist and Administration Officer to be the first point of contact for people with SecondBite | FareShare. You will have strong attention detail and be responsible for assisting with site operations, front-of-house coordination, internal communications support, and primary on-site liaison with IT and facilities vendors. This role supports volunteer and employee onboarding and ensure consistent process execution across the Abbotsford site. The role also acts as a trusted process owner for office stock, supplier management and event logistics. 
 

Duties include

  • Answer all incoming calls and hand/redirect callers enquiries
  • Manage front-desk operations, visitor reception, and day-to-day office flow
  • Greet, assist and direct visitors
  • Own site stock controls for office essentials, uniforms, kitchen supplies, safety/First Aid items and related provisioning
  • Provide support to Operations for contractor management and vendor visits
  • Support recruitment touchpoints (candidate care and day-one inductions) in partnership with recruitment lead
  • Maintain a centralised reception calendar for events, room bookings and office activities
  • Coordinate catering and logistics for meetings
  • Provide administration support as directed
     

You bring to the role

  • Minimum 3-5+ years’ experience in administration, office coordination, facilities support, or reception; experience in people-orientated roles is preferred.
  • Demonstrated ability to manage multiple tasks with strong prioritisation and time-management skills.
  • Proven stakeholder management and customer service excellence; comfortable engaging with staff, volunteers, vendors and leadership.
  • Familiarity with IT/tech liaison tasks.
  • Proficiency with standard office software (MS Office or Google Workplace) and experience with CRM/ERP tools (e.g Salesforce) is a plus..
  • Empathetic and compassionate approach to working with the community.
  • Proactive and solution-oriented mindset.
